The Technical College System of Georgia (TCSG) is seeking highly qualified applicants for their fulltime Director of Student Pathways and Scheduling position in the Office of Student Affairs/Secondary Initiatives. The Director will oversee the strategic implementation, management, integration, and optimization of TCSG’s academic scheduling platform across the 22 colleges of the system. This role ensures smooth operation and continued enhancement of the academic scheduling system, which support course scheduling, classroom management, and faculty assignments. The Director will work collaboratively with various scheduling stakeholders to include academic and student affairs departments, IT teams, administrative staff, leadership teams and external vendors to maintain platform functionality and ensure the technology supports strategic academic, enrollment, and operational goals of both the system and individual institutions.

 

RESPONSIBILITIES 

Management and Data Governance:

  • Implement a smart, data-driven academic scheduling system that provides students with more flexible scheduling options, reduces course conflicts, and improves access to high-demand courses all driving toward increased on-time graduation.
  • Oversee the system-wide implementation, maintenance, and continuous improvement of the academic scheduling platform, ensuring it meets the needs of all scheduling stakeholders.
  • Develop and update governance models for academic scheduling technology usage across the system to ensure adherence to best practices, compliance, and institutional policies.
  • Evaluate, prioritize, and make recommendations for platform enhancements or replacements based on changing institutional needs and technological advancements.
  • Provide direct supervision to support staff within the unit.

 

Strategic Planning and Alignment:

  • Collaborate with leadership and administrative teams to ensure the academic scheduling platform aligns with institutional and System Office goals and policies, including student success, operational efficiency, and faculty workload management.
  • Lead the development and execution of long-term strategic planning roadmap for the academic scheduling system, ensuring platform scalability and flexibility to accommodate future growth and changing needs while supporting the goals of operational efficiency.
  • Provide recommendations for improvements to enhance scheduling accuracy, system functionality, and the user experience.

Vendor Management and Collaboration:

  •          Manage relationships with vendors and external service providers to ensure the academic scheduling platform is of high quality, functions optimally and improvements or customizations are made when needed.
  •          Manage contracts, service-level agreements (SLAs), and performance monitoring to ensure that vendor meets the agreed-upon standards for platform quality and customer support.
  •          Conduct regular vendor performance reviews and work with vendor to resolve any identified issues.

User Support and Training:

  •          Develop and implement training programs and resources for faculty and staff to ensure effective use of the scheduling platform.
  •          Ensure the development and delivery of a comprehensive user support system is in place for troubleshooting, system guidance, and ongoing education about new features or updates.
  •          Serve as a point of contact for escalated scheduling issues, providing timely resolutions and ensuring effective communication between technical support teams and end users.
  •          Establish user support structures to address platform-related issues and concerns.

Performance Monitoring and Reporting:

  •          Establish key performance indicators (KPIs) to evaluate the effectiveness, efficiency, and user satisfaction of the scheduling platform.
  •          Regularly assess and report on platform performance, user experience, and system reliability to senior leadership, and make data-driven recommendations for improvements or investment.
  •          Monitor usage patterns and provide regular reports to senior leadership on the status of the scheduling platform, including performance, issues, and opportunities for improvement.

Policy and Compliance Oversight:

  •          Ensure that the academic scheduling platform complies with relevant institutional and system policies and accessibility requirements.
  •          Maintain awareness of regulatory and accreditation changes related to academic scheduling and adjust platform configurations to meet compliance standards.

Budgeting and Resource Management:

  •          Monitor the allocation of resources, ensuring the platform has the necessary support and infrastructure to perform effectively.
  •          Collaborate with financial and technology teams to secure necessary investments for technology upgrades or new platforms.

 

MINIMUM QUALIFICATIONS 

Bachelor’s degree *and* Five (5) years of work related experience. Experience with Banner SIS and Blackboard LMS. Experience with AdAstra or similar scheduling software.

 

PREFERRED QUALIFICATIONS 

·         Masters Degree and 5+ years of experience in academic scheduling, technology platform management, or project management in a higher education setting.

·         Departmental Director leadership level or higher.
