TRS is currently hiring for the following position:
Scanner/Indexer
Under general supervision, this position performs technical duties associated with the records management functions of the division and agency.
MINIMUM QUALIFICATIONS & EDUCATION
- High School Diploma.
- One or more years of experience scanning and indexing, or working in a similar position.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Opens, sorts, date stamps, and separates incoming mail for copying, scanning or distribution in accordance with division procedures.
- Reviews document verbiage to search for open records requests.
- Prepares and identifies documents prior to scanning; ensures legibility.
- Scans and indexes documents based on division, document type and status, maintaining minimum 80% accuracy.
- Retrieves documents from mail sorting area and other divisions for scanning.
- Prepares scanned documents for archival storage, boxes original documents, and notes scanning date range and division on each box.
- Performs regular scanner cleaning to ensure scanned documents are legible.
- Communicates with internal and external customers; notifies supervisor of customer-related issues.
- Collects and applies postage to outgoing mail; ensures daily pick-up by external courier.
- Delivers paper member files, forms and publications to other divisions when requested.
- Delivers items to outside entities as needed.
- Orders office supplies; delivers to other divisions as needed.
- Inventories agency forms, publications, letterhead and envelopes each month.
- Performs other related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
- Basic knowledge of Microsoft Outlook and Word.
- Skill in the operation of office equipment.
- Skill in scanning and indexing documents.
- Skill in problem solving and decision-making.
- Skill in oral and written communication.
- Ability to work independently and as part of a team.
- Ability to build and maintain effective working relationships with all levels of management and staff.
WORK ENVIRONMENT
The work is typically performed in an office environment.
PHYSICAL DEMANDS OF THE JOB
- MEDIUM - Exert up to 50 lbs. of force occasionally, and/or up to 20 lbs. of force frequently, and/or up to 10 lbs. of force constantly to move objects.
- REPETITIVE MOTIONS: Movements frequently and regularly required using wrists, hands, or fingers.
