STATE PROFILE SUMMARY: Under general supervision, performs complex administrative duties and statistical, financial, or operational data analysis and reporting in support of management decision making in functional area. Identifies trends, discrepancies, and variances to improve the efficiency and effectiveness of operations. May partner with other departments, divisions, outside agencies, and vendors to address business issues. Exercises various latitudes of independent judgment. May administer or provide high level support for various projects, grants, contracts, implementation of procedures, and/or any specialized functions. Assists with orientation, training, or providing task guidance of junior team members.

JOB RESPONSIBILITIES: Under general supervision, supports a variety of administrative and operational functions for an Office/Unit. Assist in the development and administration of the operational budget.  Assist with supplier contracts including renewals, document management. Receive and verify invoices for goods and services, ensuring accurate coding. Prepare requisitions for diverse services and commodities (e.g. information technology and building maintenance materials, furniture and fixtures, stationery and office supplies etc.) in a timely manner and monitor status of requisitioning, ensuring accurate coding. Ensures current records for all contract files. Conduct basic research, data analysis, and data presentation. Coordinate activities for annual events. Performs complex processing, transactions or other technical-level duties.    Serves as a liaison for facility.  Performs other duties as assigned.

 

MINIMUM QUALIFICATIONS

The selected candidate must meet the advertised minimum qualifications to include State Entry Qualifications as well as Agency Specific Minimum Qualifications

 

 STATE ENTRY QUALIFICATIONS:

Associate degree in business or related field from an accredited college or university and two (2) years of experience related to the area of assignment; or one (1) year of experience required at the lower level Busi Support Analyst 1 (GSP130).

Note: An equivalent combination of knowledge, education, job or intern experience, training or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.

 

 

AGENCY SPECIFIC QUALIFICATIONS:

·       Demonstrated experience in supporting a variety of administrative and operational functions including procurement, purchasing, and contracts.

·       Experience preparing and/or assisting in the preparation of budget/financial reports.

·       Experience using Microsoft Office computer applications.

·       Experience with current State of Georgia financial system.

·       Basic understanding of contracts and general accounting principles.

·       Demonstrated experience preparing basic to moderately complex reports.

·       Previous supervisory experience with the demonstrated ability to develop effective work teams.

·       Demonstrated good problem solving and decision-making skills.

·       Demonstrated excellent interpersonal, written and oral communication skills.

·       Excellent customer service skills with the demonstrated ability to correctly identify and provide resolution to customer or client issues.

·       Demonstrated ability to work independently with minimal supervision.

·       Experience tracking budget expenditures.

 

 

AGENCY PREFERRED QUALIFICATIONS:

·       Knowledge of Georgia State Government procurement policies and procedures.

·       Experience using Team Georgia Marketplace.

·       Possess a working knowledge of PeopleSoft financials.

Good Employment Standing:

In accordance with the Interview and Selection Process (ISP), an applicant must have no active disciplinary actions to be in good employment standing.  Actions that may disqualify an applicant include letters of reprimand (active for 12 months after issuance date); suspension without pay or disciplinary demotion (active for 12 months from the effective date); Performance Improvement Plans (PIP) and Leave Restriction Plans (active until 12 months after the date of conclusion).  In addition, an employee must have an overall ePerformance rating score of three (3) or higher on their most current evaluation.  Please note that Memorandums of Concern are not considered disqualifying factors.  Human Resources may remove any employee from consideration for selection who is pending a disciplinary action; however, if the action is resolved in the employee’s favor, he or she will be allowed to compete.
