OVERVIEW

The Georgia Department of Public Safety (DPS) employs approximately 1600 employees and oversees the day-to-day operations of the Georgia State Patrol (GSP), Capitol Police and the Motor Carrier Compliance Division (MCCD). GSP troopers investigate traffic crashes and enforce traffic and criminal laws on the state's roads. Capitol Police officers prevent and detect criminal acts and enforce traffic regulations throughout Capitol Hill. MCCD officers conduct safety inspections of commercial motor vehicles and inspect highway shipments of hazardous materials.

Although focused primarily on the enforcement of traffic laws and investigation of traffic crashes, the Department of Public Safety will support the efforts of all public safety agencies to reduce crime, apprehend those who commit them, and respond to natural and manmade disasters. The council of Accountability Court Judges (CACJ), is administratively attached to Criminal Justice Coordinating Council (CJCC) and is legislatively charged to guide the further development and implementation of Georgia's accountability courts under the expertise of judges. An additional focus of the council is to establish standards and practices for all accountability court divisions based on the national drug court institute, and substance abuse and mental health services administration, with a state goal of reducing recidivism over fenders diagnosed with a substance use disorder and or a mental illness.

Location: This position is located at 244 Washington Street, Suite 300, Atlanta, GA 30334

Job Description, Responsibilities, Standards, and Qualifications:

Under the general supervision of the Director of Training and Operations, this position provides administrative and operational support for the Council of Accountability Court Judges (CACJ). The position frequently interacts with Georgia judges, court professionals, partners and stakeholders, and national experts and requires independent judgment, excellent organization, communication skills, and exceptional customer service skills. This position does not perform any direct training; it is an administrative position focused on coordination. Travel requirements include driving statewide with frequent overnight stays. Travel expenses are reimbursed by CACJ.

Duties and Responsibilities:

 Operations and Administration

  • Review and confirm invoices for agency purchases.
  • Serves as staff to the CACJ Training Committee.
  • Complete special projects as assigned by the Director of Training and Operations. 
  • Maintain knowledge of current trends and developments in the field by reading professional literature, participating in professional organizations, attending continuing education courses, and maintaining a consistent, high-quality, customer-focused orientation when providing services to internal and external customers.

 Training Coordination

  • Coordinate the logistics of training for the agency from start to finish; serves as the primary point-of-contact for registrants, court staff, and vendors; responds to emails and phone calls promptly.
  • Perform pre-event coordination duties; manage training approvals and course rosters, including wait lists and confirmation emails; coordinate with the event location regarding audio-visual needs, catering, and manage hotel room blocks.
  • Perform on-site and post-event coordination duties; set up meeting rooms; provide support to attendees, trainers, vendors, and verify invoices.
  • Screen incoming emails in the CACJ training inbox.
  • Schedule Zoom meetings and webinars for training events, serving as the host, and assisting attendees with tech-related issues.
  • Manage CACJ Zoom recordings by editing videos and transcripts and saving recordings for playback.
  • Create a website page and registration forms for training courses.
  • Assist in the editing and development of training workbooks, pack and ship training materials.
  • Coordinate training course materials; creates sign-in sheets, signage; reviews presentation before printing for accuracy; orders training supplies and creates certificates of attendance.
  • Assist with continuing education credit for various disciplines, including preparing applications for continuing education credit and submitting proof of attendance.
  • Maintain extensive training records, including expense spreadsheets, expense reports, course evaluations, and monthly reports.
  • Assist the Director of Training and Operations with planning the annual accountability court conference for approximately 1500 attendees.
  • Mandatory travel to the CACJ annual conference and frequent travel to other training events to serve as the onsite administrative support.

Preferred Qualifications

  • Bachelor's degree in business, public administration, criminal justice, human or social
  • More than two years of related experience; or any equivalent combination of education, experience, and/or training that provides the knowledge, skills, and abilities to perform the work.
  • Possession of or ability to readily obtain a valid driver's license issued by the State of Georgia for the type of vehicle or equipment operated.
  • Knowledge of or experience in the Georgia court system and/or accountability courts.
  • Able to travel statewide for training needs and agency responsibilities.
  • Excellent communication, time management, organization, and coordination skills.
  • Knowledge & proficiency of appropriate software, such as Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, Teams, Zoom, and Adobe Acrobat.
  • Skill in editing and proofreading by recognizing errors in written work and quickly working to correct them.
Associate degree in business or related field from an accredited college or university and two (2) years of experience related to area of assignment; or one (1) year of experience required at the lower level Busi Support Analyst 1 (GSP130). Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.
