The Georgia Department of Public Safety (DPS) oversees the day-to-day operation of the Georgia State Patrol (GSP), Capitol Police, and the Commercial Vehicle Enforcement Division (CVE). We currently have a challenging and rewarding opportunity for an Administrative Assistant 3 in the Public Information Office.

 

This position is perfect for candidates who seek a challenging opportunity to serve the citizens of Georgia while providing critical administrative support to officers and other department personnel. Under the supervision of the Division Director, the Administrative Assistant 3 performs a wide range of administrative and office support activities to help ensure that the unit is running smoothly and efficiently. This position relies heavily on technology and the applicant should be willing to learn the ever-changing landscape of the Department of Public Safety’s Public Information Office.

 

A typical workday includes, but is not limited to:

1. Providing administrative support to the department. Preparing a variety of correspondence, reports, and forms. Establishing and maintaining the post’s filing system. Composing correspondence.
2. Scheduling appointments and maintaining calendar of activities, meetings and various events for the Director, Deputy Director, and other unit personnel.
3. Serving as the receptionist for the Public Information Office to include answering and transferring incoming calls appropriately and/or taking messages, greeting visitors and directing to proper locations, providing general information to the public regarding department activities of a public nature and referring difficult and unusual problems to the appropriate official.
4. Monitoring the use of supplies and placing orders for replenishment utilizing a P-Card procurement system.

5. Receiving, storing, and issuing materials, equipment, and other items.

6. Assist with printing and graphic design projects as well as special projects that often come through the Public Information Office.

 

  Required Personal Characteristics:

  1. Excellent computer and communication skills
  2. Ability to effectively multi-task and prioritize tasks and assignments.
  3. Strong commitment to providing excellent customer service to both internal and external customers.
  4. Willingness to learn.

 

Preferred Qualifications:                    

1. Experience working independently with Microsoft Office products (Word, Excel, PowerPoint, and Outlook).
2. Experience with technology related to a Public Information Office or Graphic Design business.
3. Successful experience providing administrative support for a unit that included dealing with issues, situations, and documents of a sensitive and/or confidential nature.
4. Experience composing and formatting correspondence and other documents.
5. Purchasing experience, specifically E-procurement and purchasing card reconciliation.

High school diploma/GED and four (4) years of job-related experience; or two (2) years of experience required at the lower level Admin Assistant 2 (GST051) or position equivalent.
