POSITION: DIRECTOR OF ADMINISTRATIVE SERVICES
REPORTS TO: Vice President of Administrative Services
SALARY RANGE: $70k - $73k, depending on education, qualifications, and experience
EFFECTIVE DATE: May 1, 2025
RESPONSIBILITIES:
The Director of Administrative Services is responsible for the achievement of services, goals, and objectives, and acts as a liaison with portions of the Business Office to ensure day-to-day-operations are handled appropriately. Other responsibilities include administration, development, and implementation of initiatives, supervision of employees, and managing the comprehensive accounting and financial activity at our College.
Major Duties:
· Manages and develops a comprehensive accounting program, which integrates Generally Accepted Accounting Principles (GAAP), Governmental Accounting Standards, statutory accounting requirements, and departmental fiscal policies and procedures;
· Supervises the establishment, coordination, and communication of important dates associated with the Business Office calendar, i.e. purchasing deadlines, disbursement data, financial statement and GAAP entry deadlines, etc.;
· Supervises cash management of all college funds to ensure adherence to proper policies, procedures, and regulations;
· Directly supervises the Business Office employees and College accounting functions for the following areas, which include: General Ledger, Financial reporting, A/P, and Purchasing functions;
· Reviews and analyzes financial data to ensure fiscal integrity and compliance with applicable principles, standards, guidelines, policies, and procedures;
· Along with the VPAS, prepares or directs the preparation of accurate and timely financial reports as required by local, state, and federal agencies, which includes month-end, year-end close, and GAAP entries;
· Assists with the supervision and maintenance of property inventory records for the College;
· Represents the VPAS in all areas of Administrative Services, including Human Resources and Facilities Maintenance, to ensure continuity during VPAS’ absence;
· Develops and maintains effective internal control structures that preserve the integrity of the accounting and business operations;
· Develops, updates, and/or assists with the development of policies and procedures, and recommends changes to effectively meet the goals and requirements of the College and the Administrative Services Department;
· Maintains knowledge of assigned functional area; evaluates and adjusts as necessary; and gives updates to management on services, operations, and projects;
· Performs other duties as assigned in the fulfillment of the needs, philosophy, and purpose of our College.
MINIMUM QUALIFICATIONS:
A Bachelor’s degree in Accounting from a regionally accredited college or university and three (3) years of full-time work-related experience.
COMPETENCIES:
· Knowledge and experience with GAAP accounting principles; governmental and fund accounting standards; and statutory regulations;
· Knowledge of the mission of postsecondary vocational/technical education;
· Skill in the operation of computers and job-related software programs, including Banner and PeopleSoft;
· Skill in interpersonal relations and in dealing with the public;
· Excellent oral and written communication skills;
· Effective decision making and problem-solving skills;
· Ability to collaborate and build strong, effective working relationships across departments;
· Ability to motivate, train, and develop a high performing staff within a team-oriented, collaborative environment;
· Ability to adjust work hours based on the needs of the College.
PREFERRED QUALIFICATIONS (in addition to minimum qualifications & competencies):
· More than three (3) years of work-related experience;
· Prior experience with the State of Georgia’s PeopleSoft Financial System;
· Prior experience in governmental and/or higher education accounting;
· Previous supervisory work experience.
PHYSICAL DEMANDS
Will occasionally lift or move objects of a light to medium weight, up to 20 pounds. Work is typically performed in an office environment with intermittent sitting, standing, or walking in various settings. Full range of hand and finger motion may be utilized for data entry purposes.
