POSITION: Conference Center Assistant - Forsyth Conference Center

REPORTS TO: Director, Forsyth Conference Center

SALARY: Hourly rate based on experience up to 29 hours per week

Position Summary

The Part-Time Conference Center Assistant provides customer service, event coordination support, and on-site operational assistance for events hosted at the Forsyth Conference Center. This position supports both administrative and event-day functions, ensuring events are planned, set up, executed, and concluded in a professional and safe manner. Work hours vary based on event schedules and operational needs, including evenings and weekends.

Major Duties and Responsibilities

Event Planning & Administrative Support

  • Assists with planning, scheduling, and organizing events at the Forsyth Conference Center.
  • Confirms event details, room arrangements, and logistics with clients, vendors, and internal staff prior to events.
  • Prepares accurate-to-scale room layout renderings to support event setup and execution.
  • Assists with preparing quotes, sample layouts, and required event documentation.
  • Performs routine office and administrative tasks related to event coordination.
  • Ensures clients are informed of Conference Center rules, regulations, and required paperwork.

Event Operations & On-Site Support

  • Assists with event setup, organization, guest greeting, execution, and post-event cleanup.
  • Ensures meeting rooms and event spaces are arranged according to client agreements and approved layouts.
  • Serves as a point of contact for clients, guests, and vendors during events, responding to inquiries and addressing concerns.
  • Assists caterers with meal service execution, including table setup, service support, and clearing.
  • Supports the safe and responsible conduct of events, prioritizing guest wellbeing.
  • Provides direction to event staff as assigned by the manager on duty.
  • Provides occasional assistance with basic janitorial or facility-related tasks as needed.

Competencies and Qualifications

  • Strong customer service, interpersonal, and communication skills.
  • Effective decision-making and problem-solving abilities.
  • Ability to manage multiple tasks and shifting priorities.
  • Proficiency with computers and job-related software programs.
  • Ability to work independently with minimal supervision.
  • Ability to work flexible and variable hours.
  • Prior experience in hospitality, event services, food service, or customer service preferred.

Physical and Work Environment Requirements (optional but recommended)

  • Ability to stand and walk for extended periods during events.
  • Ability to lift and move event-related equipment (up to 20 lbs., if applicable).
  • Work is performed in both office and event spaces.
