Job Title: Executive Assistant and Security Operations Project Manager- Atlanta
Pay Grade: L
Job Summary:
Provide administrative support to the Chief of Police. Responsible for scheduling appointments, maintaining calendars, and managing multiple priorities. Assist in the preparation of reports, gather and research information, coordinate meetings, copy and file documents, perform data entry, prepare presentations or notes, prepare personnel actions and maintain leave balances for the department. Manages and/or executes tasks to achieve departmental goals and deadlines.
Primary Duties and Responsibilities:
- Support routine administrative functions for the agency/office, such as travel expenses, car rentals, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, personnel, payroll, etc.
- Plan, organizes, executes tasks and coordinates resources to achieve department goals.
- Track project performance and maintain comprehensive project documentation.
- Provide regular updates to stakeholders as required.
· Provide administrative support to the assigned area.
- Provide program, administrative, and/or technical assistance to customers and staff.
- Provide program, administration, and/or technical assistance and interpretation of policies and procedures as needed.
- Research, resolve and/or respond to inquiries or concerns.
- Review incoming correspondence, forward or respond to inquiries as appropriate.
- Maintain department organizational charts.
- Other duties as assigned.
Required Skills/Abilities
· Excellent organizational skills and attention to detail.
· Extensive knowledge of office management systems and procedures.
· Ability to operate general office equipment.
· Critical thinking and problem-solving skills.
· Proficient at managing time and resources.
· Excellent written and verbal communication skills.
· Ability to type 60 words a minute.
· Proficient in Microsoft Office Suite or similar software.
· Ability to gather, summarize data and generate reports.
· Ability to maintain confidential information.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Minimum Qualifications:
High school diploma or GED AND One year of professional level experience related to the area of assignment.
Preferred Qualifications:
- Bachelor’s degree in business administration or communications or a related field from an accredited college or university AND three years of senior administrative experience or equivalent combination of experience, education and training.
