Coordinator - Academic Quality Assurance and Assessment
Employment Terms: This job is a full time, benefited FLSA Exempted position in the Academic Affairs Division that reports to the Executive Director of Institutional Research and Effectiveness.
Salary: Commensurate with education and experience not to exceed $54,080.
Minimum Qualifications (Job Code 11213): Bachelor’s degree *AND* two (2) years of experience in a related field. Note: Experience may substitute for the degree on a year-for-year basis
Preferred Qualifications:

• Master’s degree and experience in institutional research and/or effectiveness, to include compiling, analyzing and submitting data for various reports and surveys
• Experience conducting quality assurance and/or continuous improvement activities
• Advanced knowledge of operational functions of Academic Affairs departments
• Advanced knowledge of principles and processes for developing, administering, and reporting on surveys
• Excellent knowledge and experience in the use of Microsoft ® Office Word, Excel, PowerPoint, Outlook, TEAMS, Compliance Assist, Class Climate, and/or Dynamic Forms
• Experience using Ellucian Banner student database (or another similar information system)
• Proven organizational skills
• Excellent written and verbal communications skills
• Previous work experience in an educational setting
Job Description
Under general supervision, this role supports the mission and objectives of the Office of Institutional Research and Effectiveness by overseeing a range of academic quality assurance activities. Key responsibilities include:
· Serving as a liaison between Institutional Effectiveness and academic units.
· Collaborating with academic leadership to coordinate the development, implementation, and monitoring of program goals, policies, procedures, and quality standards.
· Designing and managing academic quality assurance processes and accountability measures.
· Supporting college and programmatic accreditation efforts by aligning policies with best practices and accreditation standards.
· Compiling, analyzing, and reporting data related to academic program quality and student experiences.
· Coordinating faculty credentialing and managing faculty observation processes.
· Overseeing new program/course proposals, modifications, and terminations.
· Ensuring completion of Program Advisory Committee requirements.
· Providing training to faculty and staff as needed.
· Participating in college standing and ad hoc committees.
Additionally, this position manages college-wide survey and assessment services, including:
· Maintaining the Class Climate software platform.
· Administering surveys and collecting data.
· Performing data analysis and preparing reports.

Serves as the principal focal point for coordinating and managing implementation of campus surveys and assessment activities - Uses and maintains survey software – Class Climate – upgrades and troubleshoots - Creates and facilitates new users of survey system to gather data - Oversees the administration of all college surveys - Performs data analyses and compiles reports for various initiatives |

Centralizes the faculty observation activities for the College - Collects documentation regularly and ensures submission across academic programs - Develops organization system for documentation - Creates annual observation forms for faculty use using Dynamic Forms - Monitors the completion of observations in accordance with academic policies |

Oversees the completion of program advisory committee (PAC) meetings - Provides training on the policies and procedures regarding PAC requirements - Organizes and stores the documentation on behalf of academic programs - Monitors the completion of annual PAC obligations - Prepares reports from findings in PAC documentation for planning and research |

Coordinates the Perkins Program Improvement Planning process - Develops annual plans for developing and implementing approved activities - Schedules and hosts performance review meetings to help identify root causes of program performance - Support the development of performance-enhancing activities - Evaluates independent program submissions - Monitors the completion of approved activities - Collects and maintains documentation of implementation to ensure compliance requirements are met each year |

Oversees new program, program modification, curriculum revision, and program termination submissions according to local, state, and federal guidelines. - Understands local, state and federal submission guidelines to facilitate submissions - Oversees the local request process for academic programs and monitors their progress - Maintains the use of Dynamic Forms to facilitate the local submission process - Monitors submissions for compliance issues and provides solutions as needed |
