Job Summary
The Business Support Analyst 1 provides operational, financial, and administrative support to the Office of Finance. The position coordinates the Direct Bill hotel program for DJJ, ensuring accurate billing, vendor coordination, and compliance with financial procedures. The analyst works closely with hotel vendors, DJJ staff, and Accounts Payable to reconcile invoices, resolve billing discrepancies, and ensure timely payment processing.
Primary Duties & Responsibilities:
Serve as the primary liaison between DJJ staff and hotel management teams for direct bill hotel arrangements.
Coordinate and establish direct bill hotel reservations for DJJ staff.
Communicate with hotel vendors to investigate and resolve billing discrepancies.
Ensure hotel direct bill charges are included on staff expense reports.
Work with Accounts Payable to ensure invoices are submitted and processed in a timely manner.
Review hotel and rental car invoices for accuracy before submission for payment processing.
Receipt invoices and provide administrative support to the Office of Finance Leadership Team.
Send monthly aging report requests to hotel and car rental vendors to reconcile outstanding balances.
Maintain and distribute an updated Direct Bill Hotel List to relevant departments.
Conduct site visits and onboard new hotel vendors participating in the direct bill program.
Perform additional duties or special assignments as directed by the CFO or Deputy CFO.
Minimum Qualifications
Associate degree in business or related field from an accredited college or university and one (1) year of experience related to area of assignment.
Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.
Preferred Qualifications
Experience with Accounts Payable or invoice processing
Vendor coordination or travel program management experience
Proficiency in Microsoft Office (Excel, Outlook, Word)
Experience working in a government or public sector environment
