Audits and Accounts, Georgia Department of - DOAA

For over 100 years, the Department of Audits and Accounts has existed to provide independent, unbiased information and impactful recommendations to promote accountability and improve government.  Clients include public colleges, universities, technical colleges, boards of education and state agencies. 

 

Position Overview

This position assists in maintaining a comprehensive accounting program which integrates Generally Accepted Accounting Principles, Governmental Accounting Standards, statutory/budgetary accounting requirements, Department fiscal policies and procedures, and general office administrative operations. This position assists with the day-to-day procurement activities of the Department in addition to handling the accounts payable and fixed asset inventory.  Additionally, this position assists with the development of internal controls for the Department.  This role is hybrid and may require several days a week in our Atlanta office depending on business needs.

 

What You Will Be Doing

·        In charge of the procurement process by working with those outside the agency and internally to purchase goods and/or services.

·        Assist with requisitions by ensuring coding accuracy and compliance and ensures the purchase orders are placed for such orders in a timely manner. Ensures all invoices are coded correctly and that services/products were received prior to invoicing.

·        In charge of preparing invoices for submission and processing by AP Shared Services and working with AP Shared Services staff to resolve any problems with the invoices.

·        Conducts daily monitoring of purchase orders in accordance with Division policies

·        Ensures that the chart fields documenting all expenses are accurate and aligned with state policies and procedures.

·        Assists with monitoring the expenses of the Department, including daily, monthly, and quarterly financial reports.

  • Evaluates and monitors contract performance to ensure compliance with contractual obligations and to determine need for changes. 

·        Assists with reconciling accounting records, including journals, ledgers, and shared services accounts payable monthly.

·        In charge of vendor maintenance: gathering information needed to establish new vendors, ensuring vendor contact and payment information are up-to-date, and working with vendors to resolve any billing issues that arise.

·        Enters purchases for equipment into the asset management system. Makes corrections in the system as required per supervisory review. Conducts physical inventory bi-annually, or more frequently if necessary.

·        Assists with entering payments into official accounting records and internal records. Helps with the creation of speed charts.

·        Adheres to internal control policies and procedures when performing work.

·        Performs miscellaneous duties such as real estate rents, equipment rents, telecommunications, and fixed assets.

·        Performs other duties as assigned by management.

 

Position Requirements

  •    Completion of Bachelor’s (four year) degree in Accounting
  •  Intermediate level of knowledge in Microsoft Office Suite

 

Preferred Qualifications

·        One year of state procurement responsibilities

·        State Financial Management Certification

·        Knowledge of the State of Georgia accounting financial system

Hiring Range

·        $58,897 - $71,985  

·       Compensation will be commensurate with education, certifications, and experience.

·        Annual Leave – 5 hours per pay period with possible increases based on years of continuous service

·        Sick Leave – 5 hours per pay period

·        Parental Leave – 240 hours paid leave per year to care for newborn/child placement

·        Holidays – 13 paid holidays per year

·        Insurance – Options include health, dental, vision, legal, disability, and healthcare and dependent care spending accounts, etc.
