The Technical College System of Georgia (TCSG) is seeking highly qualified applicants for their fulltime Receiving and Distribution Specialist in the Office of Administrative Services.  This position is responsible for receiving shipments using the state financial system, ordering supplies, and reviewing, sorting, and delivering incoming and outgoing mail and packages.

RESPONSIBILITIES 

·       Reviews, sorts, ships, and delivers incoming and outgoing mail and packages. 

·       Responds to inquiries regarding mail services. 

·       Receives shipments using the state financial system. 

·       Records and maintains documents for mailing and shipping/receiving activity. 

·       Orders, receives, stocks, and maintains inventory levels of office supplies for system office.

·       Responsible for the monthly reconciliation of purchase card and shipping statements. 

·       Moves internal office furniture, equipment, and bulk office supplies for System offices.

·       Performs light maintenance duties and answers phone. 

·       Maintains and operates mail machines, copy machines, and/or fax machines.

·       Applies inventory decals to incoming assets and completes supporting documents.

·       Assists with annual physical inventory of capital and fixed assets.

·       Collects and maintains storage of, and submits proper documentation to DOAS for, surplus and scrap items.

·       Corresponds with DOAS, buyers, or recycle company to arrange pickup times.

·       All job duties/tasks should be completed to ensure customer satisfaction and reflect professional cordiality. 

·       Other Duties as assigned.

 

MINIMUM QUALIFICATIONS 

·       Any combination of training and experience in performing general office/mailroom work to include duties such as receipt, sorting and distribution of incoming and outgoing mail for the central mail services of a department or facility.  Demonstrated knowledge and experience using Excel spreadsheets.  

·       Must be able to lift 40 to 50 pounds.

 

PREFERRED QUALIFICATIONS 

·       A high school diploma or GED *and* one year of experience relating to the preparation and processing of outgoing mail and packages for delivery or shipment, including activities such as sealing, sorting, weighing and/or applying proper postage rates and classification. 

·       PeopleSoft Financials, Microsoft Office, UPS CampusShip, and Fed-Ex experience, WorkDay Experience.

 

TECHNICAL COMPETENCIES 

·        Knowledge of inventory control methods

·       Knowledge of minor maintenance and/or toner cartridges of printers, copiers, and fax machines

·       Ability to place materials in proper storage areas using the correct equipment

·       Ability to operate equipment such as pallet jacks

·       Ability to evaluate condition of equipment and make recommendations to repair, replace or dispose

·       Excellent customer service skills
