Job Description:
Under general supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel.
May enter data and/or process documents and records. The work includes operating standard office equipment. Work is performed under the general supervision of a clerical or administrative supervisor.
Uses independent judgment and initiative to perform administrative, clerical and secretarial duties in support of an individual employee or group of employees.
May provide secretarial and administrative support to an upper-level manager. Provides general clerical support to an office, to include such tasks as data entry/maintenance, copying/distributing documents and materials, maintaining record-keeping and filing systems, etc.
Provides clerical support within assigned functional area (ie processing/transactions, review of applications, scheduling training, scheduling facilities maintenance, reconciling financial records, assessing/collecting fees for a program, generating rep.
Provides clerical support such as incidental typing, filing, ordering supplies, and sorting mail.
Completes tasks and assignments associated with administrative support functions (ie, licensure, personnel, purchasing, records management, inventory, or similar function), see below:
- Calling Physicians as requested by nursing staff.
- Maintaining appointment book for all individuals on a specific unit.
- Faxing as requested and needed
- Making copies for physicians, nurses and other disciplines as needed.
- Assist with collecting CIRs.
- Scanning documents for physicians, nurses, auditors, and other disciplines as requested, except for medical records information.
- Scheduling routine labs follow-ups are scheduled as needed.
- Maintaining in-house rosters and database when new and/or re-education of training is required for the nursing staff.
- Making daily assignment packets and other documents as needed (copy, sort, and staple).
- Ordering supplies for unit including medical supplies/weekly checks to ensure enough office supplies on unit.
- Maintaining Diet book and lab identification book to ensure forms are up-to-date, and that the two-patient identifiers are current, etc. as requested.
- Maintain a current database for staff training and ensure training is scheduled and calendars are developed.
- Kronos assistance for nursing staff – collect time cards from staff.
- Entering information in AVATAR
Vacation: 15 days each year up to 5 years of service; 18 days each year from 5-10 years of service; 21 days each year for 10 + years of service
Sick Leave: accrual at a rate of 10 hours per month (15 days each year)
