Employment Terms: This is a part time, non-benefited position in the Adult Education Division that reports to the Director of Curriculum and Instruction for the ESL program.  The individual in this position may not exceed 19 hours per week.

 

Schedule: Tuesday – Thursday 9:00 AM – 2:00 PM, Friday 9:00 AM – 1 PM.

 

Salary:  $15.60 per hour

 

Minimum Qualifications (Job Code H1001): High School diploma or equivalency (GED, HiSET).  Computer skills.

 

Preferred Qualifications: Associate’s degree or above.  Two (2) + years in an office support position; front desk reception/administrative assistant capacity and/or educational setting preferred.

 

Computer literate with demonstrated proficiency in Microsoft Word and Excel; pleasant, personable, customer service oriented demeanor; Typing 50 WPM; ability to prioritize and organize; ability to work in and with a culturally diverse population; self starter who can work with minimal supervision; effective oral and written communication skills.

 

Preferred Skills:  Bi-lingual; Advanced Microsoft office skills (Excel, Word); experience using specialized data management systems; accurate and detailed data entry, report generation and file management; professional, dependable and collaborative.

 

Certain positions are subject to pre-employment and random drug testing. Refusal to take the test or a positive result will lead to separation and a 2-year ineligibility period for state employment. Additionally, for any employment offer that includes a required drug test, the test must be completed within 48 hours. Failure to comply will result in the offer being rescinded and a 2-year ineligibility period for state employment.

 

Job Description:  Under the supervision of a Director, the Program Assistant (PA) exhibits a pleasant and positive attitude while supporting the students and instructors in their duties.  The PA is required to handle confidential student and program data on a daily basis.

1.                   Provides administrative and clerical support to the unit. (Performed by all incumbents)

2.                   Serves as a liaison between the program/administrative/technical operation and clients; determines the nature of client's business and provides appropriate information and assistance. Refers to appropriate personnel when necessary. (Performed by all incumbents)

3.                   Conducts comprehensive clerical research using a variety of resources to generate reports and respond to requests. (Performed by all incumbents)

4.                   Retrieves, screens, opens, and distributes incoming mail. Prepares for delivery and sends outgoing documents and other materials. (Performed by some incumbents)

5.                   Maintains filing and record-keeping systems. (Performed by all incumbents)

6.                   Copies and distributes documents and other materials. (Performed by some incumbents)

7.                   Monitors use and maintains supplies for program/operational unit.

8.                   Performs a variety of clerical duties for program or operation staff

9.                   Contributes to and maintains a high performance environment characterized by a positive attitude and a strong team orientation. (Performed by all incumbents)
