Position Summary

The Georgia State Election Board is seeking a highly organized and detail-oriented Open Records and Administrative Specialist to manage the agency’s Open Records Act (GORA) requests and provide high-level administrative support to the Executive Administrative Assistant and Executive Director. The ideal candidate will have a working knowledge of Georgia’s Open Records Act, Open Meetings Act, and Administrative Procedures Act, with strong proficiency in document management, proofreading, and Microsoft Office software.

Key Responsibilities

  • Receive, track, and fulfill Open Records Act requests (GORA) in compliance with state law and agency procedures.

  • Coordinate with internal divisions, the Attorney General’s Office, and requestors to ensure accurate and timely responses.

  • Review, redact, and prepare records for release using Adobe Acrobat Pro.

  • Maintain case logs and tracking spreadsheets in Excel and SharePoint.

  • Draft, edit, and proofread correspondence, memoranda, and legal documents.

  • Assist with Open Meetings Act compliance, including meeting notices, minutes, and posting requirements.

  • Support rule-making processes under the Administrative Procedures Act.

  • Utilize Outlook, Teams, CMTS, and Zoom for internal communications and case coordination.

  • Maintain organized electronic and physical files in compliance with agency retention policies.

  • Perform general office duties, scheduling, and records maintenance as assigned.

Preferred Qualifications

  • Experience with Georgia’s Open Records Act (GORA) and Open Meetings Act (O.C.G.A. 50-14-1 et seq.).

  • Familiarity with the Administrative Procedures Act (APA).

  • Advanced proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat Pro.

  • Experience using SharePoint, Teams, Zoom, and CMTS software.

  • Strong grammar, proofreading, and copy-editing skills.

  • Excellent organizational and multitasking abilities.

  • Ability to work independently and meet deadlines under pressure.

  • Notary Public certification (preferred).

  • Previous experience in a state agency or legal/governmental environment (preferred).

     

Minimum Qualifications

  • High school diploma or GED required, associate or bachelor’s degree in public administration, Legal Studies, or related field preferred.

  • Two or more years of experience handling public records, legal documentation, or administrative duties in a government or law-related setting.
