The Technical College System of Georgia (TCSG) is seeking highly qualified applicants for their fulltime Executive Assistant position in the Commissioner’s Office. The Executive Assistant to the Commissioner is responsible for performing professional and administrative duties in support of the Commissioner of the Technical College System of Georgia. This position is located at 1800 Century Place, Atlanta, GA 30345 and required to be on-site five days per week.
RESPONSIBILITIES
- Oversees the day-to-day operations of the Commissioner’s Office, ensuring seamless administrative support, efficient workflow, and proactive prioritization of tasks and commitments.
- Manages the Commissioner’s complex calendar, including scheduling and coordinating internal and external meetings, anticipating conflicts, prioritizing engagements, and ensuring adequate preparation time for all events. Some travel may be required.
- Plans, coordinates, and supports high-level meetings and events, including agenda development, attendee coordination, logistics, materials preparation, and post-meeting follow-up.
- Represents the Commissioner with professionalism and discretion, responding to inquiries, interpreting policy, and resolving issues using sound judgment and a thorough understanding of organizational priorities.
- Interface with College Presidents and their assistants. Maintain an ongoing and open communication with the Presidents’ assistants.
- Manages high-volume communication, including screening and routing calls, providing accurate information to internal and external stakeholders, and ensuring timely follow-up on all messages and requests.
- Drafts, edits, and disseminates high-quality communications, including official correspondence, executive summaries, meeting notes, reports, and briefings on behalf of the Commissioner.
- Coordinates complex travel arrangements for the Commissioner and senior staff, including preparing itineraries, travel documentation, and expense reconciliation.
- Handles confidential and sensitive information with the highest level of integrity, maintaining privacy and exercising discretion at all times.
- Maintains an organized, efficient, and secure system for managing files and records, ensuring compliance with internal policies and state regulations.
- Performs additional duties as assigned, contributing to the success of the Commissioner’s Office and the overall mission of the Technical College System of Georgia.
MINIMUM QUALIFICATIONS
Bachelor’s degree *and* One (1) year of work-related experience *OR* An associate degree in Business Administrative *and* Two (2) years of work-related experience. Note: Experience may substitute for the degree on a year-for-year basis
PREFERRED QUALIFICATIONS
- 5+ years of advanced executive‑level support, especially supporting high‑level officials such as Commissioners, Assistant Commissioners, Presidents, or Vice Presidents in postsecondary settings
- Proficiency with Concur Travel and Workday platforms
- Strong command of Microsoft Office Suite: Outlook (calendar/email), Word, Excel, PowerPoint, Teams; familiarity with Dropbox, Confluence or internal intranet tools
- Strategic calendar and meeting management skills, coordinating for multiple stakeholders with conflicting priorities; advanced event coordination experience (e.g., board meetings, state‑level events)
- Competence in office logistics, including supplies, conference room scheduling, equipment oversight, and basic supervision of support staff or intern
- Strong organizational and time management skills
- Excellent communication and interpersonal skills, with the ability to build rapport with colleagues, donors and vendors.
- Ability to work independently and as part of a team.
