The Executive Assistant may provide administrative support to an individual, team, department or group Collects, reviews, and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheets, or specialized software. The Administrative assistant prepares and distributes reports or other communications on a regular schedule. Maintains files, databases, and archives of relevant records. Additionally, screens and respond to calls, or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. May manage expense reporting, invoicing, office supply inventory, or other routine processes. Under broad supervision, administrative support performs the highest level of administration within the organization. Responsible for scheduling appointments, maintaining calendars, and managing multiple priorities. Assist in the preparation of reports, gathering and researching information, preparing presentations, coordinating meetings, copying and filing, preparing notes, performing data entry, and other special projects as needed. . Reviews in coming correspondences to executives and forwards. Appropriately or, based on a knowledge of recipient’s views, may respond on their behalf. Assists in the administration and interpretation of policies and procedures for the organization and department. Maintains confidential information. May act as a spokesperson for departmental inquiries. Performs related responsibilities as required of the executive.
Duties & Responsibilities:
- Manage complex executive calendars and coordinate meetings, conferences, and cross-departmental activities for the Chief Financial Officer (CFO) and Chief Clinical Officer (COO).
- Schedule and organize travel arrangements, leadership sessions, department meetings, and other events as needed.
- Draft agendas, prepare meeting materials, compile packets, and record minutes for assigned meetings.
- Prepare, edit, format, and distribute executive correspondence, reports, presentations, financial documents, communications, and other confidential materials.
- Provide supplemental support to the CEO, in close collaboration with the Executive Assistant to the CEO, including coverage during absences or periods of increased demand.
- Transcribing meeting minutes.
- Use software for data analysis, report preparation, and general office tasks.
- Reconcile credit card statements and receipts for the CFO and CCO.
- Collaborate with other departments and programs to gather information, complete assignments, and support cross-functional tasks.
- Maintain organized, secure, and accessible filing systems while protecting sensitive and confidential information.
- Support onboarding processes, training coordination, meeting preparation, and specialized administrative requests.
- Partner closely with the Executive Assistant to ensure smooth, coordinated operations across the entire Executive Leadership Team.
- Serve as a professional and responsive point of contact for internal and external stakeholders on behalf of the Finance and Executive Leadership teams.
- Assist with personnel functions, such as logging applications, coordinating interviews, and preparing related documents (when applicable).
- Order office supplies and manage inventory.
- Collect, review, and analyze data, prepare reports, charts, and presentation materials.
- Assist staff with organizing and executing routine activities and special projects.
- Conduct studies and prepare reports on departmental operations, procedures, and expenditures.
- Use software for data analysis, report preparation, and general office tasks.
- Other related duties as assigned.
