Coordinator of Registrar Services
The Coordinator of Registrar Services is a key administrative professional responsible for overseeing and managing essential functions within the Registrar's Office. This position ensures the accuracy, integrity, and compliance of institutional and regulatory processes while providing high-quality service to students, faculty, and staff.
Major Duties
- Coordinates the collection and verification of class grades from instructional staff to ensure timely and accurate dissemination of grade reports;
- Oversees the entry and auditing of student graduation data within the master database and facilitates proof approvals for final submission;
- Administers the ordering process for diplomas, academic regalia, and related graduation materials, ensuring all requirements are met to support seamless graduation ceremonies;
- Maintains and oversees the accuracy of student data in the institutional student information system, ensuring compliance with institutional and regulatory standards;
- Acts as a systems resource by troubleshooting issues, training staff, and providing technical guidance to colleagues;
- Manages the maintenance and retention of student records in alignment with institutional policies and state regulations, ensuring records are complete, secure, and accessible when needed;
- Serves as a point of contact for faculty and staff, communicating critical deadlines, procedural changes, and updates to ensure compliance and operational efficiency;
- Oversees the processing of official student withdrawals, ensuring alignment with institutional and federal guidelines;
- Provides strategic support during registration periods, streamlining processes to enhance the student experience;

- Serves as a liaison between the Registrar's Office and Financial Aid, managing the coordination of records for students utilizing federal Title IV funding and ensuring compliance with funding requirements;
- Directs the resolution of errors within the College HOPE Eligibility Calculation System, ensuring timely and accurate submissions to external agencies such as GA Futures and the Technical College System of Georgia;
- Oversees the evaluation and processing of HOPE Scholarship applications in adherence to Georgia Student Finance Commission regulations;
- Ensures institutional policies and academic requirements for graduation are met by conducting thorough audits and evaluations of student eligibility;
- Identifies opportunities to enhance Registrar Office processes and systems, implementing solutions to improve efficiency and service delivery;
- Collaborates with cross-functional teams to align Registrar operations with institutional goals and strategic priorities;
- Leads or contributes to special projects, committees, and initiatives to support institutional objectives;
- Takes on additional duties as needed to ensure the success of the Registrar's Office.

Minimum Qualifications
- Bachelor's degree in a related field *and* Two (2) years related experience
- Note: Experience may substitute for the degree on a year-for-year basis
Salary/Benefits
Salary is commensurate with education and work experience. Benefits include paid state holidays, annual and sick leave, and the State of Georgia Benefits package.
The employee occasionally lifts or moves objects of a light to medium weight. Work is typically performed in varying office environment with intermittent sitting, standing, or walking in various settings. The employee must be able to lift up to 25 pounds. Full range of hand and finger motion is required for data entry purposes.
