Description: The Executive Assistant to the President is responsible for performing professional and administrative duties in support of the president of a technical college. 

 

Major Duties:

  • Organize and coordinate daily activities and schedule for president’s office, arranging meetings, conference calls, and travel. Prepare detailed itineraries and expense reports. Maintain associated records as needed. Answer and manage incoming calls and greet visitors in courteous and timely manner.
  • Prepare outlines for speeches and other presentations for college and community events.
  • Coordinate special events such as groundbreakings and ribbon cuttings, ensuring appropriate officials, dignitaries and community leaders are included.
  • Initiate, compose and accurately type correspondence and other administrative documents according to established guidelines Maintain high level of confidentiality.
  • Research, gather data, and prepare reports, presentations, spreadsheets, tables and charts for president’s use.
  • Perform administrative tasks and assignments associated with personnel support functions, which may include budget procurement, contracts, inventory control, personnel, safety, security, records, etc.
  • Maintain a filing and record keeping system for the president. Use sound judgement and knowledge of NGTC and its policies and procedures.
  • Serve as a liaison between the president and board members. Record and distribute minutes and other relevant information to appropriate members in a timely manner.
  • Coordinate board attendance at annual conference, and college-related events and ceremonies.
  • Submit local board member appointments/reappointments to TCSG staff for State Board approval. Coordinate monthly board meeting schedule, meeting materials, and presentations. Submit expense statements, including per diem fees, for board members.
  • Monitor use and maintain supplies, equipment and/or facilities for president’s office.
  • Order supplies and equipment according to established policies and procedures.
  • Serve as liaison between college and outside organizations. Maintain good rapport with community leaders, private sector representatives, and public by being courteous and cooperative and utilizing diplomacy and tact in a diverse environment.
  • Assist in processing pay adjustments and personnel transactions such as hiring, promotions, transfers and terminations.
  • Assist in the development of annual department budget for President’s Office and Board of Directors and maintain accurate budget records and balances.
  • Other duties as assigned.

  • Proficiency in Windows applications (Word, Excel, Access) Internet, Outlook and job-related software
  • Knowledge of modern office practices and procedures
  • Knowledge of modern office equipment
  • Knowledge of college operations, policies and procedures
  • Decision making and problem-solving skills
  • Skill in interpersonal relations and in dealing with the public
  • Ability to multi-task and prioritize workload
  • Ability to work with minimal supervision

 

Driver’s License Requirement: Valid GA Driver License

Bachelor's degree *and* One (1) year of work related experience OR an Associate Degree in Business Administrative Technology *and Two (2) years of work related experience. Note: Experience may substitute for the degree on a year-for-year basis.
