The Technical College System of Georgia (TCSG) is seeking highly qualified applicants for their full-time

Administrative Assistant II position in the Office of Adult Education. Under general supervision of senior management, this position will perform advanced and diversified administrative duties requiring broad and comprehensive experience, skills and knowledge of organization policies and procedures in support of the unit. This position requires a valid driver's license and occasional travel (3-5 times/year) for events. This is a fully in-office position. Telework is not available.

RESPONSIBILITIES

·       Provides professional-level administrative support to leadership, exercising independent judgment and initiative

·       Delivers effective customer service and serves as primary contact and liaison for internal and external stakeholders

·       Manages customer service calls for Adult Education inquiries and High School Equivalency (HSE) call-in requests

·       Processes complex documents and transactions for assigned organizational units, programs, and specialized functions

·       Completes tasks and assignments to support organizational unit operations

·       Processes eProcurement requisitions for purchase orders and payment requests

·       Prepares and processes consultant agreements, contract forms, and routing sheets using Adobe

·       Processes Activity Account requests for deposits and disbursements

·       Manages departmental registrations

·       Processes payment requests including contracts, dues, invoices, memberships, registrations, and subscriptions

·       Arranges travel and processes expense statements for in-state and out-of-state travel using the Concur system

·       Maintains and monitors supplies, equipment, and services inventory for the work unit

·       Updates files, distribution lists, and program directories

·       Prepares and distributes incoming mail

·       Prepares and manages State Board Committee materials (agendas, minutes, etc.) and supports meeting operations

·       Processes Verification of Eligibility for Public Benefit Affidavit Forms for Adult Education students utilizing the DHS/USCIS Systematic Alien Verification for Entitlements (SAVE) Program System of Records

·       Enters state-sponsored professional development information into the data system

·       Other duties as assigned

MINIMUM QUALIFICATIONS

·       High school diploma or High School Equivalency  *and* `Two (2) years of related work experience. Or, an associates degree *and* One (1) year of related work experience.

PREFERRED QUALIFICATIONS

·       Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook) and G Suite (Docs, Sheets and Slides)

·       Knowledge and skilled in creating Adobe PDF documents

·       Detail-oriented with an ability to work independently and work in a fast-paced, demanding work environment

·       Prior experience working as a State of Georgia employee

TECHNICAL COMPETENCIES

·       Ability to operate workroom machinery such as fax machines, copiers, scanners, shredders, etc.

·       Excellent oral and written communication skills

·       Ability to handle multiple tasks at once to prioritize workload

·       Skill in accurate recordkeeping

·       Skills in interpersonal relations and in dealing with the public
