Administrative Assistant for Commercial Truck Driving

 

JOB SUMMARY

The Administrative Assistant for Commercial Truck Driving is responsible for monitoring compliance with FMCSA and DOT regulations, programs performance as well as recruitment and placement efforts.

MAJOR DUTIES

  • Performs and completes tasks and assignments associated with program support (requisition requests, education verifications, electronic file management, etc.);
  • Provides support to program coordinator;
  • Completes processing of documents and/or transaction for assigned organizational unit, program and/or specialized function/activity;
  • Conducts research using a variety of sources to complete, prepare, assemble, process, and/or generate reports and other documentation, or to respond to inquiries, questions, or requests;
  • Enters data from forms, records, reports, and/or other sources into computer for purposes such as maintaining databases;
  • Uses computer software as a tool for performing clerical assignments;
  • Monitors use of and maintains supplies, equipment, and/or facilities for assigned work unit or program;
  • Provides secretarial and clerical support to program coordinator;
  • Serves as a liaison between the division and clients; determines the nature of client’s business and provides appropriate information and assistance.  Refers to appropriate personnel when necessary;
  • Proofreads and edits documents for content, context, accuracy, and consistency;
  • Copies, distributes, and files appropriate documents;
  • Utilizes a variety of software to produce documents, spreadsheets, visual aids, and promotional materials;
  • Conducts research using a variety of resources to generate reports, solve departmental issues, find new technology solutions;
  • Compiles and maintains CDL examiner time records;
  • Participates in assessment, planning, budgeting, and staff development;
  • Performs other duties as assigned.

COMPETENCIES

  • Knowledge of TCSG rules, polices, and procedures
  • Knowledge of modern office practices and procedures
  • Ability to operate workroom machinery such as fax machines, copiers, scanners, shredders, etc.

MINIMUM QUALIFICATIONS

  • Associate’s degree in Business Administrative Technology and One (1) year of work related experience
    OR
    High school diploma *and* Two (2) years related work experience

PREFERRED QUALIFICATIONS

In addition to the minimum qualifications:

  • One (1) year experience with federal and state regulations as they relate to Commercial Drivers

COMPENSATION AND BENEFITS

  • Hourly
  • Salary commensurate with qualifications and relevant experience 
  • Ineligible for benefits
