At McIntosh Trail Community Service Board, we offer individuals experiencing symptoms associated with mental illness, addictive disease and/or developmental disability the hope for optimal functioning and recovery by providing quality behavioral health services and supports.

Summary

Under general supervision, delivers executive‑level administrative support to the CEO, ensuring smooth daily operations of the executive office. This role manages scheduling, meeting coordination, and preparation of essential documents and communications. It also requires handling confidential information with professionalism, discretion, and strong organizational judgment

Responsibilities

·         Provide high‑level administrative and executive support to the CEO, ensuring the efficient operation of the executive office.

·         Organize, maintain, and manage the CEO’s calendar and schedule, including appointments, meetings, and travel arrangements.

·         Prepare, compile, and maintain board meeting minutes, board reports, and all related board documentation with accuracy and professionalism.

·         Maintain strict confidentiality when handling sensitive information, communications, and executive‑level documents.

·         Assist in the creation, updating, production, and distribution of organizational communications, including newsletters, fact sheets, program materials, resource guides, policy manuals, organizational charts, and marketing materials.

·         Support the planning and coordination of conferences, trainings, meetings, and special events, ensuring all logistics and materials are organized.

·         Review incoming correspondence directed to the CEO and independently determine priority, responding or routing as appropriate to ensure timely follow‑up.
